KAIDAP EU – PROGRAM & PAYMENT GUIDELINES

Valid for all KAIDAP EU programs, memberships, classes, camps, workshops and events.

These guidelines ensure planning reliability, fairness, safety, hall availability, insurance coverage, staffing, and the smooth operation of KAIDAP EU.
They apply to all registrations, payments, cancellations, upgrades, downgrades and membership changes.

1. REGISTRATION DEADLINES

1.1 Regular Weekly Programs / Memberships

Registrations must be completed before the start of the new month.

  • Late or mid-month registrations may not be accepted.

  • If accepted in exceptional cases, participation starts only after full payment.

1.2 Camps, Workshops & Special Events

To secure a spot, KAIDAP requires:

  • 14 days advance registration

  • For special short-notice events: minimum 3 days advance notice

Registrations without timely confirmation are not guaranteed.

2. PAYMENT DEADLINES

2.1 Monthly Memberships

Monthly fees must be received by the 5th of every month.

If payment is not received:

  • The child’s spot is not guaranteed

  • Participation may be paused until payment is completed

  • Administrative late fees may apply

2.2 Camps & Special Events

A spot is confirmed only after full payment has been received.
No payment = no reservation.

3. CANCELLATION POLICY

3.1 Regular Monthly Programs

Cancellations must be submitted at least 14 days before the end of the month.

  • Cancellations submitted later than 14 days before month-end apply to the next possible month, NOT the upcoming month.

  • Cancellations during an active month are not possible (spot already planned, insured, and staffed).

3.2 Camps, Workshops & Events

For planning, hall bookings, logistics and staffing:

  • 14+ days before event: Eligible for credit transfer

  • Less than 14 days: No refund or credit

  • No-shows / same-day cancellations: 100% fee applies

This follows international youth academy standards.

4. CHANGES TO MEMBERSHIP OR PROGRAM TYPE

To ensure proper planning, staffing, hall allocation, insurance and accounting, ANY membership change must follow strict deadlines.

Membership changes must be requested:

  • At least 14 days before the end of the current month, and

  • They take effect the following month.

Late requests will NOT be applied

Any request submitted later than the 14-day deadline (e.g., last 2 weeks of the month, last day, day before new month)
➡️ cannot be applied to the next month
➡️ will be postponed to the next possible month

No exceptions.

Examples of changes that must follow the 14-day rule:

  • Changing from 3×/week → 1×/week

  • Changing from 1×/week → 2×/week or 3×/week

  • Switching training groups

  • Switching program categories

  • Downgrading or pausing a membership

Why this rule exists :

Because:

  • Training groups & coaching schedules are already fixed

  • Hall capacity and waiting lists are planned

  • Insurance coverage is submitted per child per month

  • Accounting & invoicing for the month is already processed

➡️ Therefore:
Mid-month changes and last-minute downgrades are not possible.

Late requests are not accepted – no exceptions.

5. LAST-MINUTE REGISTRATIONS

KAIDAP does not accept same-day or last-minute registrations unless explicitly approved by KAIDAP EU.

If a late registration is accepted:

  • Participation is only possible after full payment

  • And only if capacity allows

6. PAYMENT CONFIRMATION & SEAT GUARANTEE

A child’s place in any program is secured only after full payment has been received.

Registrations without payment do not reserve a spot.

7. ADMINISTRATIVE FEES

KAIDAP reserves the right to apply reasonable administrative fees for:

  • Repeated last-minute cancellations

  • Rescheduling requests

  • Late payments

  • Additional administrative processing

  • Changes requested outside the allowed timelines

This follows European youth academy policies (2025/2026).

8. EXCEPTIONAL CIRCUMSTANCES

In cases of illness, medical emergencies or force majeure, KAIDAP may offer:

  • Credit transfer

  • Program rescheduling

  • Partial accommodation

Medical proof may be required.

9. AGREEMENT TO THE GUIDELINES

By registering for any KAIDAP program, membership, camp, workshop or event, parents/legal guardians acknowledge and agree to:

  • The payment terms

  • The cancellation policies

  • The deadline rules

  • The operational policies listed above

These guidelines are binding and part of the program conditions.
